EMBERKIT INVOICES GUIDE
Your first invoice, step by step.
- Open the tools. On the homepage, click “Open free invoice & quote tools.” Choose “Try a sample quote” to see a completed example.
- Choose the document type. Select Invoice or Quote, then set the document date, due date or quote expiry, and USD or CAD. Changing currency does not convert your prices.
- Assign a number. Use “Assign next device number” for this browser. After connecting an account, “Assign next account number” reserves a number across devices. You can also type your own number. Review custom numbers for duplicates; device and account sequences are independent.
- Add your business and customer. Enter names, addresses and optional email and registration details. Upload a PNG or JPEG logo under 256 KB. Save a customer for reuse if you wish.
- Add line items. Enter the service, quantity and unit price. Quantities allow three decimal places; prices allow two. Enter a tax percentage per item, or 0 for an untaxed item. Add a percentage discount if needed.
- Review notes and totals. Add payment instructions or project terms. Tax is calculated after the discount. The displayed tax is the sum of the rounded per-line tax amounts. For invoices, choose Unpaid or manually mark Paid; this does not verify payment.
- Preview the PDF. Click “Preview PDF.” Use Previous page and Next page to inspect longer documents. Review names, amounts, dates and line wrapping. Latin, Greek and Cyrillic are supported where the bundled font has glyphs; unsupported characters produce an error.
- Download or save. “Download PDF” prepares the file on your device. “Save on this device” keeps an editable copy in this browser. To use another device, sign in, return here, click “Connect / refresh account,” then explicitly choose “Save to cloud.” Cloud saving uploads the document details and logo.
- Convert a quote. Click “Convert quote to invoice.” Your original quote is saved on this device; a new invoice gets its own ID and number. Review the invoice before saving or downloading it.
- Use your library. Choose Document history, Customers or Services. Open a saved customer to apply its details, or open a service to add it as a new line item. Duplicate a document for repeat work and update dates and payment status.
- Download a batch. In device Document history, select up to 100 documents and click “Download selected as ZIP.” Each PDF counts as one generation task. The batch supports up to 50 MB before compression. To batch a cloud document, open it and save a device copy first. Extract the ZIP in your Downloads folder.
- Make a backup. “Export device backup” downloads your saved device records as JSON. Keep it private: it includes customer and business details. “Import backup” validates a file and asks before replacing matching device records. Clearing browser data removes device copies.
Plans and billing
Free includes 100,000 generation tasks each calendar month; Pro includes 1 million for US$5/month; Unlimited has no monthly task-count cap for US$9/month. PDF generation runs on your device on every plan. Cloud storage and batch limits remain separate; see all plan limits.
To subscribe, connect your account and choose a plan. Stripe shows checkout totals before payment. To change an active invoice plan, confirm the switch in the workspace: limits change immediately, with no proration charge, and the new price applies at your next renewal. Switching also resumes a subscription scheduled to cancel. Manage billing opens your subscription portal.
After cancellation or downgrade, existing saved records stay readable and deletable. Your current plan’s limits apply to new saves. Save conflicts protect records changed on another device: open the latest cloud version before saving again.
What this release does not include
No automatic email sending, customer payment collection, accounting reconciliation, recurring delivery or API generation. The Paid status is your own record. A downloaded invoice is a PDF document, not proof of payment.
