How to use Expenses & Receipts

  1. Open the free expense tracker. Use the same browser and device as your Emberkit invoices and time records.
  2. Record a purchase. Enter its date, vendor, description, category and total paid including tax. Choose USD or CAD; no exchange conversion is applied.
  3. Attach the receipt. Choose one PDF, PNG or JPEG up to 5 MiB. Add the customer and project, and tick Billable to customer when appropriate. Click Save expense.
  4. Review spending. Filter by date or search customer, vendor, project or description. Download a PDF or CSV report of the matching records. Currency totals remain separate.
  5. Combine with tracked time. In Time, create an invoice draft from the relevant hours first. Return here, select the expenses for that same customer and currency, and choose that draft under Invoice destination. Or create a new expense-only invoice.
  6. Review the invoice. Click Create / update invoice draft. Fill in your business details and review line items, taxes and discounts, then preview and download in the invoice workspace. Nothing is emailed automatically.
  7. Keep a copy. Export all records & receipts ZIP regularly. Extract it to read the CSV, original receipts and structured JSON records. Automatic backup restore is not available yet.

Example: add supplies to a customer’s invoice

Imagine you paid CAD 25.50 for supplies for Maple Studio. Enter the store as Vendor, Maple Studio as Customer, “Project supplies” as Description, 25.50 as Amount paid, and CAD as Currency. Tick Billable to customer, attach the receipt if you have it, and click Save expense.

Select the checkbox beside the saved expense. Leave Invoice destination set to Create a new local invoice, then click Create / update invoice draft. The draft contains a CAD 25.50 expense line before any invoice taxes or discounts you choose. Add your business details, review the draft and download the PDF.

Simple, free and private by default

Up to 5,000 expenses and 50 MiB of receipts per browser. Records persist when you reload, but clearing site data or losing the device can remove them. Private browsing may discard them when closed. Expense records and receipt contents are not uploaded, even on a paid invoice plan. Saving the resulting invoice to your cloud library explicitly uploads its line items.

Does this scan receipts or connect to my bank?

No. Enter the details yourself and keep the original receipt as an attachment. OCR, bank connections and automatic tax calculations are not included.

Can I change a billed expense?

Records are locked once attached to a draft to avoid duplicate billing in this browser. Review them before creating a draft. Correct customer-facing line items in the invoice workspace; the original expense report remains unchanged. Keep the linked draft until you have finished billing.

Can I use multiple currencies?

Yes, USD and CAD. Reports show separate totals; each invoice must use one currency and customer. Receipt attachments remain private and are not embedded in customer invoices.

What happens to my cloud invoice?

Adding expenses changes the local draft only. Open that draft and explicitly save it to your cloud library when ready. The expense ledger itself does not sync across devices.
